Registration information

The venue – Michael Fowler Centre, Positively Wellington Venues

The DEANZ 2012 Conference will utilise the conference facilities on level two and three of the Michael Fowler Centre, also known as the Positively Wellington Venues (formerly known as the Wellington Convention Centre). The keynote sessions will be in the Renouf Foyer. Parallel sessions will be in the Lion Harbour View Rooms and the Civic Suites. Posters will be displayed in the Promenades. Authors are expected to be available during the lunch breaks. Lunch, morning and afternoon teas will be served in the Promenades. Exhibitors’ booths are located within the Promenades.

Social programme - Conference Dinner and DEANZ Awards, Thursday 12 April

from 5.30pm (seated by 6.15pm). Held at Macs Function Centre, in the Te Aro Room, cnr Taranaki and Cable Streets.

Cost included in full registrations. Tickets may be purchased for guests and by day delegates at $100 per ticket.

Accommodation

BOOKING DEADLINE: 9 MARCH 2012

A range of accommodation has been reserved for delegates and guests at preferential rates have been obtained at the properties listed below for your conference. (All prices are in New Zealand dollars and include GST). Please book at the same time you register.

Room deposit

Accommodation will not be confirmed until a valid credit card number and expiry date is provided or a deposit of one night’s tariff is received. This will be forwarded to your requested hotel and will be held against your room account. Delegates must settle the balance of their account with the hotel concerned upon check out. If accommodation deposits are not received before 9 March 2012 your room will be released back to the hotel. The Conference Managers do not take responsibility for accommodation if deposits are not received by this date.

Payments

Type of payment will be required upon check in. Should you wish to use the same credit card provided for the deposit, but it does not belong to the person staying, you will need to complete a hotel authorisation form to use that credit card. This will need to be complete before your arrival at the hotel. Please contact the conference managers for this form.

Deadline for accommodation bookings

The conference managers have an obligation to return all unsold rooms to the hotels on 9 March 2012, therefore requests for accommodation bookings and rates reserved after that date cannot be guaranteed. The rates quoted are only valid for bookings made prior to 9 March 2012. Late bookings can be made through the conference managers after 9 March 2012 but are subject to availability and credit card details are required to secure the reservation. If the reservation is cancelled please refer to the cancellation policy.

Amendments

Any addition or amendment to accommodation requirements may be done using your access key until 9 March 2011 or must be advised in writing to the conference managers, not to the hotel direct.

Cancellation policy

No accommodation deposits will be refunded on or after 9 March 2012. Cancellations made after 4 April 2012 (7 days before the Conference) and no shows will result in the hotel charging for the total number of room nights booked.

Early arrival

Check-in at most hotels is after 2.00pm and some flights arrive very early morning. If you wish to be guaranteed immediate occupation of a hotel room, you can take the precaution of paying an extra day’s tariff for the night before you are due to arrive. If you wish to take this precaution, please advise on the registration form/online form so that we can notify the hotel that your room is pre-registered.

Late arrival

Please indicate if you will arrive at your hotel after 6.00pm. Failure to do so might result in your room being released for the entire reservation booking and “no show” charges being made to your credit card. For further information, please email the conference managers with the following information: choice of hotel, number of rooms required, check-in and check-out dates, organisation, and contact name.

West Plaza Hotel

Located opposite the Michael Fowler Centre and just 10 minutes drive from the International and Domestic Airport. Central location makes it possible to experience the best that New Zealand's beautiful and exciting Capital City has to offer. The West Plaza is perfectly situated, with the city's shopping, cultural, nightlife, recreation, theatre, cinemas and central business district on your doorstep.

Standard Double Room $140 per night - one queen bed and/or one single bed with an ensuite bathroom. Maximum 2 people per room.

The Amora Hotel

Deluxe Room $210 per night - king or two double beds, with city and harbour, luxurious marble bathrooms have a separate bath and shower.

** Must be a full time student, proof may be asked.  Student registration excludes a conference dinner and welcome function ticket, however, dinner tickets may be purchased separately at $100.00 each.

Members of the organisations aligned with DEANZ (ascilite, NZATD, ODLAA and ACODE) are also entitled to DEANZ member rates. Full registration fee is inclusive of the delegate bag, name badge, entry to all sessions, lunches, morning and afternoon teas, welcome function and conference dinner with entertainment. Day registration fee is inclusive of the name badge, entry to sessions, lunch and meal breaks on day of registration.

- Personal cheques drawn on banks outside New Zealand cannot be accepted.

Acknowledgement: On receipt of registration form, a confirmation letter detailing all items and payments will be sent to each delegate. No person will be allowed to attend the conference sessions without payment of all necessary fees.

Cancellations and refunds

If for any reason the organisers of the DEANZ Conference 2012 cancel the event then a refund will be made less an administration fee of 10% of total fees paid. Any amendments and/or refunds must be notified in writing to Convention Management. Cancellations received in writing four weeks before commencement of the event will receive a full refund, less an administrative fee of NZ$150.00. Cancellations received after four weeks prior will not receive a refund, but substitute delegates are welcome without penalty. Only registered delegates will be admitted to sessions. Delegate fees do not include accommodation charges.

Neither the Organising Committee of the DEANZ CONFERENCE 2012 and its constituent members acting as organisers (known collectively as ‘the Organisers’), nor Convention Management (CM), can accept any liability for death, injury, any loss, cost or expense suffered by any person (including accompanying persons or partners or attendant caregivers), if such loss is caused or results from the act, default or omission of any person other than an employee or agent of the organisers or CM. In particular, neither the Organisers nor CM can accept any liability for losses arising from the provision or nonprovision of services provided by hotel companies or transport operators. Nor can the Organisers or CM accept liability for losses suffered by reason of war including threat of war, riots and civil strife, terrorist activity, natural disasters, weather, fire, flood, drought, technical, mechanical or electrical breakdown within any premises visited by delegates and/or partners in connection with the Convention, nor losses suffered by reason of industrial disputes, governmental action, registrations or technical problems which may affect the services provided in connection with the Conference. Neither the Organisers nor CM is able to give any warranty that any published speaker or performer will appear as a speaker, panelist or performer. The organisers reserve the right to alter or amend the programme and its contents as they see fit and as circumstances dictate without further recourse to any registered delegate or attendee.
